
Privacy Notice for Connect: The UK Trauma Council Community of Practice
Who we are
Anna Freud (‘we’, ‘our’, ‘us’) is a registered mental health charity and the UK Trauma Council is hosted and supported by Anna Freud. The Communities of Practice (CoP) is an online professional learning and collaboration space hosted on the UKTC Learning Hub. To enable us to facilitate this space we will collect and store personal information about you. Anna Freud (AF) is the data Controller for this data processing.
This notice informs you how we may use the personal data we collect about members of the CoP (‘you’). If you have any questions about the content of this notice you can contact us at:

Purpose of the processing and the lawful basis for the processing
We are collecting your personal data to enable us to create your account, provide access to the platform, communicate with you about Community activities, and enable your participation in discussions, events, and shared resources. The information you provide will be used to manage your account and your experience as a member of the CoP. We will collected personal data including your name and email address to create your account and provide you access to the platform.
We also collect limited professional information, such as the type of organisation you work for, your job role, and the region you are based in, to help us understand the professional background of participants and ensure the CoP supports collaboration and learning across sectors working with children and young people.
In addition, we collect information about gender and ethnic group on an optional basis. This information helps us understand the diversity and reach of the Community and supports monitoring and evaluation of participation across different groups. This information will only be used for monitoring and reporting purposes in aggregated form and will not be used to identify individuals.

How we get information
We use information collected directly from you via the online registration form.
Who we share your data with
We do not share your personal data with any third party organisations. We will anonymise your data and share with funders to demonstrate impact and reach of the Community.
We use Thinkific to process the data as described previously. We do not share your data with any other third parties for other purposes, including direct marketing.
Generally, we will ask your permission before we share your data, but in some circumstances, we are legally obliged to share information, for example under a court order. Where we do share, we satisfy ourselves that we have a lawful basis on which to share the information and document our decision making.
How long we retain your data
Your data is retained for as long as your account remains active on the Connect CoP platform. If you choose to close your account or request deletion, your personal data will be removed from the platform. We will also periodically review inactive accounts and remove them where appropriate.
Data stored within the UKTC learning platform will be deleted through the platform’s administrative controls, which permanently remove user accounts and associated personal data from the system.
We will anonymise your data and may share reports regarding users with our funders. These reports will be aggregated and will not contain any personal identifiers.
Your data rights
Under data protection law, you have rights we want to make you aware of. The rights available to you depend on our reason for processing your information and may only apply in certain circumstances. You can check the Information Commissioners website for more detail or contact the DPO.
Your right to be informed – this notice informs you what data we collect and how we use it.
Your right of access – You have the right to ask us for a copy of your personal information.
Your right to rectification - You have the right to ask us to correct information which you think is inaccurate or incomplete.

Your right to restriction of processing - You have the right to ask us to limit the processing of your information in certain circumstances.
Your right to object to processing - You have the right to request we stop processing some or all or your data.
Your right to data portability - This only applies to information you have given us and where we rely upon your consent to process the data.
Rights around automated decision making and profiling

Obligation to provide data and automated decision making
There no legal or statutory obligation for you to provide the data, however we only ask for the minimum information we need to provide an appropriate service to you. If we don’t have the full detail required we may not be able to do this.
